Administrative Project Manager
BrandBossHQ is seeking an Administrative Project Manager to support immediate client and internal initiatives. Applicants must be local to the Triangle area of North Carolina and able to be in our offices in Raleigh for initial training, monthly check-ins, and other special projects.
As an Administrative Project Manager, you are responsible for managing projects, coordinating tasks, tracking progress, and ensuring timely completion. You also provide administrative support such as scheduling, documentation, and coordination of meetings and resources.
The Administrative Project Manager will report directly to the COO.
Responsibilities include:
Business Development Support:

- Support our Business Development Director with potential client follow-ups
- Support proposal development
- Manage meeting schedules
- Conduct online research to collect information on new prospects
- Organizing appropriate files and documentation from client meetings
Client Management Support

- Support the Chief Operating Officer to maintain and nurture client relationships
- Set up new clients in our system
- Google Drive folder and document management
- Fill in templates and distribute to internal and external partners
- Set up presentation templates
- Build timelines for client projects
- Maintain client status reports
- Maintain and monitor project plans and project schedules
- Set up necessary client meetings
- Manage client communications, keeping clients updated on progress
- Support internal teams in preparing necessary materials for client meetings
- Coordinate with internal and external partners to keep projects running smoothly
Administrative Support

- Support our Chief Operating Officer by aiding with accounting tasks
- Support updates to internal processes and templates
- Online research to support special projects
Required Skills:
- An understanding of project management and the necessary skills to ensure deliverables are on-time. on budget and delivering as expected
- Strong organizational skills
- Detail-oriented, process-oriented, and results-driven
- Must be able to multitask and feel comfortable working with Sr. leadership
- Self-starter works effectively independently and within a team environment
- Have excellent written and verbal communication skills
- Proactive mindset – always looking ahead to anticipate next steps and actions needed
- Desire and ability to learn quickly and work in a fast-paced environment
- Work effectively with our external vendors and freelance creatives to ensure timely delivery
- Proficient in Google programs (Drive, Slides, Docs, Sheets)
Extra Credit:
- Working knowledge of Pipedrive a plus
- Working knowledge of Miro a plus
- Working knowledge of project management platform, Monday, is a plus
- Proofreading experience is a plus
Compensation:
Compensation range for the position is $45k – $60k commensurate with experience.
